GENERAL RULES
1. The Department for Working with Students is a structural subdivision of the university, established based on Decision No. 6 of the Council of the Uzbekistan State University of Physical Education and Sports (hereinafter referred to as the "University") dated January 31, 2024.
2. The Department of Student Affairs (hereinafter referred to as the “Department”), having studied the experience of universities in foreign countries with a developed educational process, is a structural unit that performs the following tasks: maintaining records of documents on the educational activities of students at the university, forming personal files, issuing relevant orders and monitoring their execution, issuing academic (transcript) and other types of certificates to students, providing them with information about areas and forms of education, registering students in the HEMIS information system, answering students' questions, and providing them with high-quality and appropriate services. The department consists of 1 head of department, 3 chief specialists, 3 leading specialists, and 1 dispatcher.
The department is part of the Office Registrar Services Department and is subordinate to the head of the Office Registrar Services Department.
3. In its activities, the department adheres to the Law of the Republic of Uzbekistan "On Education", decrees and resolutions of the President of the Republic of Uzbekistan, resolutions of the Cabinet of Ministers of the Republic of Uzbekistan, resolutions and orders of the Ministry of Higher Education, Science and Innovations of the Republic of Uzbekistan, the Ministry of Sports of the Republic of Uzbekistan, the Charter of the university, resolutions of the University Council, orders of the rector and other regulatory documents.
4. The Department is headed by the Head of the Department, who is appointed and dismissed by order of the Rector of the University in accordance with the current legislation of the Republic of Uzbekistan.
The staffing table of the Department is approved by the Rector of the University based on the conditions and characteristics of the University's activities at the proposal of the Head of the Department.
5. The department formalizes academic leave for students, issues academic certificates and transcripts, monitors the accuracy of data in the student database and updates the information system of the Department, checks the completeness of the submitted documents, provides information support to students, monitors the student registration database, prepares information on the personal and academic data of university students, keeps track of the movement of student contingents, provides students with documents for formalizing academic leave and for exclusion from the ranks of students and for reinstatement. The Student Affairs Department maintains personal files in the unified interdepartmental electronic document flow system “Ijro.gov.uz”. It identifies differences in subjects or academic debt in the curricula, forms individual study schedules in accordance with the curricula. Provides students with complete information about studying at the university, provides students with a login and password to access the system, provides information support to students, receives and registers applications, reviews and processes applications, and advises students in difficult and controversial situations regarding the educational process.
6. The staff of the Department consists of specialists with appropriate education, professional training, qualifications and work experience. Their tasks and functions, rights and obligations are determined by these Regulations and job descriptions. The distribution of tasks among the employees of the Department is carried out by the Head of the Department in accordance with the staffing table and job descriptions.
Employees are provided with the opportunity to improve their skills through participation in advanced training courses, seminars, trainings, and self-education.
The rights necessary to perform the main tasks and functions of the Department are exercised in accordance with the job descriptions of the employees of the Department.
This Regulation enters into force from the date of approval and is mandatory.
